Realdania’s Privacy Policy

At Realdania data protection is a high priority. Whether you are a member of Realdania, applying for philanthropic grants, visit our websites or otherwise are in contact with Realdania, we do always collect and process your personal data in accordance with applicable legislation and guidelines. 2. Realdania’s processing of personal data

Realdania collects and process personal data regarding members for several purposes, including: 

  • Sign-up for newsletter and marketing
  • Participation in events
  • Send outs brochures, invitations, news, and information about Realdania
  • Marketing in general, including advertising
  • Send out Christmas cards
  • Login to the website
  • Discount vouchers
  • Ensure that your personal data is updated
  • Ensure that you own real estate
  • Identification of candidates to Realdania’s committee of representatives in connection with our democratic process
  • Member surveys
  • Send out of reminders and notifications
  • Ensure that you are not a part of recruitment campaigns when you are already a member
  • Recording and transcribing of election and debate meetings, meetings of the board of representatives and events in general, with the purpose of documenting and improving the meetings
  • Ensure compliance with our rules, including determining your ownership of real estate

The personal data we collect about our members is, e.g. name, title, CV, company, address, email, phone numbers, CPR-number, recording of meetings and events, etc. The data is collected when you submit it to us. The data is used, among other things, to register you in the Realdania association, when you sign-up for newsletters and in connection with events – or to send you brochures, invitations, news and other information about Realdania. 

The CPR-number helps us to identify you, so we can ensure that we have the right information about you. We are connected to the CPR register, where we receive daily information about change of address, buying and selling home and deaths. According to Realdania’s regulations, it is a requirement that you own real estate in order to be a member, and we must at all times ensure that these regulations are complied with. 

We only use your personal data to send you special offers if you are a member and have given us your explicit consent. However, if permitted by law, we can contact you without obtaining your consent beforehand. You can always specify if you do not wish to receive email or other information from us in the future. 
If you are a member of Realdania and visit realdania.dk via the newsletter My Realdania, we will also collect data about your visit to be able to target the information you receive, so they will fit your interests as far as possible.

In connection with Realdania’s democratic process, where we search for candidates to Realdania’s assembly of representatives, we use your submitted data and your publicly available information such as work place, position and position of trust via e.g. Google searches and social media platforms. The assembly of representatives is Realdania’s supreme authority and consists of 109 members. The assembly of representatives is elected among Realdania’s members. 

In connection with your application for membership and doing your membership, Realdania may in some cases process your CPR number and your contact information in order to identify you 100 %, so that we can ensure that we have the correct data about you, and to ensure that you are the owner of real estate. In the event that you have not provided Realdania with the necessary documentation to be able to determine your ownership of real estate, Realdania may use your CPR number and/or contact information in order to determine this via publicly available registers (such as the CPR register, IDQ, BIQ and the Land Registration). Via the mentioned public registers, we can collect information about address changes, name changes, possession of real estate and death. As mentioned, we do this with the purpose of ensuring that you own real estate, which is a requirement to be a member, cf. our rules.

Basis for processing your personal data

Our legal bases for the processing of your personal data for the above purposes is as follows: 

  • Register you as a member of Realdania to perform and administrate the membership and to comply with our rules (GDPR article 6 (1)(b))
  • Consent to newsletters and marketing (GDPR article 6 (1) (a))
  • Legitimate interest in compiling statistics, conduct surveys, improve and develop our services (GDPR, article 6 (1) (f))
  • Legitimate interest in sending service notifications (GDPR article 6 (1) (f))
  • Legitimate interest in sending customer satisfaction surveys and Christmas cards (GDPR article 6 (1) (f))
  • Processing of your CPR number is based on your consent (s. 11 (2) (2) of the Danish Data Protection Act) hereunder with the purpose to check via publicly available registers whether you own real estate, as described above
  • Legitimate interest in ensuring that you do not participate in marketing campaigns when you are already a member (GDPR article 6 (1) (f))
  • Legitimate interest in setting up ads on Facebook via Realdania based on your email address and your interest in Realdania (GDPR article 6 (1) (f))
  • Legitimate interest in recording and transcribing election and debate meetings, meetings of the board of representatives and events in general, with the purpose of documenting and improving the meetings (GDPR article 6 (1) (f))
  • Legitimate interest in sending a hashed email address to Facebook, which we have received from you in other contexts (e.g. because you are a member or in connection with subscribing to a newsletter) as well as information about your interest in Realdania. Facebook will then use the hashed email address to target marketing to other Facebook users with similar interest as you (GDPR article 6 (1) (f)). You have the right to object to this processing by contacting us. In addition, you can object to Facebook by changing your settings on Facebook and deactivating ”Facebook Custom Audiences”, by following the instructions at this link facebook.com/settings/?tab=ads#.   • Public interest in disclosing data to distribution companies with a view to the distribution companies’ compliance with their legal obligations, e.g., in the form of checking addresses in relation to newsletter sign-ups (GDPR article 6 (1) (f))
  • Comply with legal obligations (GDPR article 6 (1) (c))

Disclosure and transfer

As a general rule, we do not disclose your information to others, unless you have given your explicit consent to do so. The information that Realdania collects from members is not sold or disclosed to third parties without prior consent. 

It may, under certain circumstances and according to applicable law cf. article 6 (1) (c) of the GDPR, or in the public interest  cf. article 6 (1) (e) of the GDPR or in order to pursue our legitimate interest in being able to defend or establish legal claims cf. article 6 (1) (f) of the GDPR, be necessary to disclose data to public authorities, distribution companies, lawyers or the police.    
In order to fulfil the above purposes, we may provide access to your personal data to third parties who, on the basis of a contract with Realdania, provide relevant services, e.g. IT suppliers, member contact centres, mail providers, suppliers of meeting and event recordings, suppliers in connection with marketing and group companies. Such service providers will only process personal data in accordance with our instructions in accordance with concluded data processing agreements. 


Deletion of personal data

Your personal data will be deleted when we no longer need to process them it for the fulfilment of one or more of the abovementioned purposes. Member data is, as a general rule deleted upon termination of membership or upon the death of the member. In the event that the member has consented to receiving newsletters, necessary data for this purpose is stored as long as the consent is valid and up to two years after the consent has been withdrawn. Recordings and transcripts of election and debate meetings, meetings of the board of representatives and events in general etc., is stored four years after recording. However, statistical data can be processed and stored for a longer period in anonymized form.

Please note, that other sections in the general privacy policy may also be of relevance as a member of Realdania. Whether other sections in the privacy policy are relevant to you as a member will depend on your specific behaviour and interaction.

Realdania collects and processes personal data about applicants for philanthropic grants for a number of purposes, including: 

  • Processing of applications for grants
  • Identification of former applicants

The purpose with processing data, including personal data in connection with philanthropic grants, is to ensure that decisions about grants are made on the most substantiated grounds possible, and to identify possible links with previous and other philanthropic applications and projects. 
In the following you can see how Realdania registers and uses the information, you as an applicant is asked to provide, and the data you submit or the footprints you leave when you use the services provided.  

Realdania registers the mentioned data electronically in a closed philanthropy system, and physical personal data records are kept in locked cabinets. Only appointed employees have access to the electronic and physical data. 
When filling out application forms, you are asked to enter several personal data, including name, address, telephone number and email. We use your personal data to be able to process your application.  

Realdania does not collect information about the visitors’ profile on our own initiative. If you provide information in an electronic grant application, the submitted information is only processed in connection with the desired service.

Basis for processing your personal data

Our legal bases for the processing of your personal data for the above purposes is as follows: 

  • To be able evaluate your application. In the event that your application is granted, the data will subsequently be used to administrate the grant (GDPR article 6 (1) (b)).

 

Disclosure and transfer

Realdania does not disclose or transfer personal data to third parties. Under certain circumstances and according to applicable law data can be disclosed to public and tax authorities (GDPR article 6 (1) (c)). Under certain circumstances data may also be disclosed to lawyers and the police on the basis of our legitimate interest in defending og establishing legal claims (GDPR article 6 (1) (f)). 

In order to fulfil the above purposes, we may provide access to your personal data to third parties who, on the basis of a contract with Realdania, provide relevant services, e.g. IT suppliers, member contact centres, mail providers, suppliers of meeting and event recordings, suppliers in connection with marketing and group companies. Such service providers will only process personal data in accordance with our instructions in accordance with concluded data processing agreements. 

Deletion of personal data

In relation to grant applications, we store information about you and your project in order to be able to identify if you have previously applied, as long as this information is relevant to us. Your personal data will be deleted when we no longer need to process them it for the fulfilment of one or more of the abovementioned purposes.

However, statistical data can be processed and stored for a longer period in anonymized form.


Links to other websites 

Our websites links to other websites and to integrated websites. Realdania is not responsible for the content of other companies’ websites or for their practice in connection with collection of personal data. When you visit other websites, you should always read the website’s privacy policy and other relevant policies. 

 

When you subscribe to Realdania’s newsletters, whether it is “Mit Realdania” or our general news email, we register your email address and name as provided above. We use the information to send you newsletters and to compile statistics on subscribers’ use of the content of the newsletters.

The data is stored by our data processors, who assist Realdania with the delivery of newsletters, mail providers and IT suppliers. 
Information about the individual subscribers is generally not disclosed. However, it may under certain circumstances and according to applicable law cf. article 6 (1) (c) of the GDPR, in the public interest  cf. article 6 (1) (e) of the GDPR or in order to pursue our legitimate interest in being able to defend or establish legal claims cf. article 6 (1) (f) of the GDPR, be necessary to disclose data to public authorities, distribution companies, lawyers or the police.

Your personal data will be deleted when we no longer need to process them it for the fulfilment of one or more of the abovementioned purposes. Information necessary to send out newsletters is stored as long as the consent is valid and up to two years after the consent has been withdrawn. However, statistical data can be processed and stored for a longer period in anonymized form.

Opt-out can be done directly from all newsletters using the “Unsubscribe” link at the bottom of the email. You can also contact realdania@realdania.dk to be deleted or get more information about newsletters. 

 

1. When does this Privacy Policy apply?

This privacy policy applies to Realdania and Facebook Ireland Ltd.’s (“Facebook”) processing of the personal data you leave and/or submit when you visit Realdania’s Facebook page (“the Facebook page”).

Realdania follows the guidelines of the Danish Data Protection Agency regarding joint controllers and Realdania will do its best, with the existing means, to ensure that you will be notified of the processing of your personal data before you visit the Facebook page. Together with other companies we continuously seek to enter into a dialogue with Facebook regarding the regulation of joint controllers and the allocation of responsibility. 

3. What personal data does Facebook collect?

Facebook uses ”Facebook Insight” on the Facebook page to collect anonymised statistical information about visitors’ behaviour on the Facebook page, including gender, relationship status, work, lifestyle, interests, information about purchases and geographical data. For this purpose, Facebook has placed cookies on your devices when you visit the Facebook page. Each cookie contains a unique identification code that will remain active for a period of two years unless it is deleted before the expiration of this period. Facebook receives, stores and process your personal data through these cookies.

4. What personal data does Realdania collect?

Depending on your behaviour on the Facebook page Realdania may collect the following personal data about you:

  • Whether you “like” the Facebook page
  • Comments you leave on the Facebook page
  • That you have visited the Facebook page
  • Anonymised data from Facebook’s cookies via ”Facebook Insight”, including age, gender, relationship status, work, lifestyle, interests and information about purchases and geographical data

5. What is the purpose with processing your personal data?

Facebook processes your personal data to enable Facebook to improve its advertising system and to provide Realdania with statistics that Facebook produces based on your visit at the Facebook page, in order to advertise and customise the activities on the Facebook page. Through cookies Facebook and Realdania will know if you like the Facebook page and use the Facebook page’s applications, and be able to customise the content on the Facebook page and develop functions that you might be interested in.  

Realdania will also process your personal data to improve Realdania’s products, improve the Facebook page and conduct surveys, compile statistics, develop and protect Realdania’s services and products, based on, among other things, your answers and feedback.

6. What is the legal basis for processing? 

Realdania processes your personal data based on Realdania’s legitimate interest in improving Realdania’s products and services (GDPR article 6 (1)(f)).

Facebook processes your personal data based on Facebook’s legitimate interests, including Facebook’s interest in providing an innovative, individually tailored, secure and profitable service (GDPR article 6 (1)(f)). Facebook may also process personal data based on your consent, which you can withdraw at any time via the Facebook settings (GDPR article 6 (1)(a)).

7. Who receives my personal data?

Your data can be shared with the following categories of recipients:

  • Facebook partners who use analytics services
  • Advertisers
  • Other people using the Facebook page
  • Measurement partners 
  • Researchers and academics 

For more information about who Facebook shares your personal data with, please refer to Facebooks general privacy policy under the section “How is this information shared?” (see section 6 for Facebook’s privacy policy). 

Facebook can transfer your data to Facebook in the United States. Facebook is certified under the EU-US Privacy Shield framework and is thereby required to follow applicable standards in European data protection law. However, the Privacy Shield framework has been declared invalid and Facebook is in the process of establishing a new basis for transfer. We will update this privacy policy when the basis for transfer is established. 

Realdania will not transfer your personal data to other companies at any time.

8. What are my rights?

According the data protection legislation you have a number of rights:

  • You are at all times entitled to gain access to the information Realdania and Facebook process about you, with certain statutory exceptions  
  • You have the right to object to the collection and further processing of your personal data
  • You have the right to have your personal data rectified, deleted or blocked
  • In certain cases, you have the right to limit the processing of your personal data
  • You have the right to receive the personal data concerning you and, in some cases, have these data transmitted to another data controller (data portability
  • If you are a Facebook user, you have the opportunity to change your privacy settings to affect how your personal data is collected and processed when you visit and use the Facebook page.

9. Who do I contact?

The agreements Realdania has entered into with Facebook and Facebook’s general set-up suggest, that you must contact Facebook if you wish to exercise your rights. This is due to the fact, that only Facebook are functionally able to take the necessary steps to meet most of your requests.    

You can visit Facebook’s general privacy policy for more information on how Facebook processes your personal data and for Facebook’s contact information (see section 6 for Facebook’s privacy policy). 

However, if you believe that Realdania can meet your request, you are of course very welcome to contact us. 

To visit or participate in events at Realdania it is necessary for Realdania to collect information like your name, email and telephone number as well as pictures or videos in order to communicate about the event. The legal basis for the processing of your personal data is our legitimate interest in being able to register participants and send reminders as well as communicate regarding the event (GDPR article 6 (1) (f)).

In some cases, it may be necessary to share information about your participation in the event with presenters and co-organizers. These recipients act as independent data controllers and information is disclosed as part of our legitimate interest in being able to administrate the event

Deletion of personal data 

Your data is stored for the above purposes for up to 1 year from the time of the event unless we are obligated to store the information. If you have participated in competitions as a member of Realdania, your personal data will continue to be processed in accordance with section 2.a “Members”.
To participate in quizzes and competitions at Realdania it is necessary for Realdania to collect information like your name and your email. If you win a competition is will also be necessary to collect your address to make it possible for Realdania to handover the prize. The legal basis for the processing of your personal data is our legitimate interest in being able to complete the quiz or the competition (GDPR article 6 (1) (f)).


Disclosure and transfer

Your personal data will not be disclosed to third parties without your consent. However, it may under certain circumstances and according to applicable law cf. article 6 (1) (c) of the GDPR, in the public interest  cf. article 6 (1) (e) of the GDPR or in order to pursue our legitimate interest in being able to defend or establish legal claims cf. article 6 (1) (f) of the GDPR, be necessary to disclose data to public authorities, distribution companies, lawyers or the police.
Your personal data is disclosed to our data processers who assist Realdania in conducting competitions and quizzes as well as email providers and IT suppliers. In some cases, data processors are located outside the EU. In such case, Realdania will apply the EU Commission’s standard provisions which guarantee an adequate level of data protection. 


Deletion of personal data 

When the competition or the quiz has been conducted and fully completed, all stored data at Realdania is deleted, unless we are obliged to continue to store the personal data. 
 
In some cases, Realdania will collect publicly available information (typically contact information related to persons from companies on e.g. LinkedIn and Twitter) and buy leads from companies (addresses and names) to prepare campaigns and to send letters with a view to recruit new members to Realdania. The legal basis for processing your personal data is our legitimate interest in recruiting new members (GDPR article 6 (1) (f)). Realdania always complies with applicable marketing and cookie legislation in connection hereto. 
 
If you are not a member of Realdania, but otherwise a stakeholder, your contact information can be used to send Christmas cards, industry and annual publications as well as invitations for relevant events. Distribution takes place in accordance the provisions of the Marketing Practices Act and is based on our legitimate interest in being able to keep our stakeholders updated and foster the relationship (GDPR article 6 (1) (f)).   


Disclosure and transfer

Your personal data will not be disclosed to third parties without your consent (GDPR article 6 (1) (a)), unless this is required by law (GDPR article 6 (1) (c)). 
Your personal data is disclosed to our data processers who assist Realdania in conducting competitions and quizzes as well as email providers and IT suppliers.


Deletion of personal data

Information related to possible members is deleted 2 years from the collection of the personal data, unless you have indicated that you do not wish to be a member of Realdania, in which case your personal data is deleted immediately thereafter. In the event that you become a member of Realdania, please refer to section 2.a “Members” above. 

Information related to our stakeholders are stored as long as you are interested and in the event of opt-out no longer than 2 years from the end of the partnership.  
 
When you use Realdania’s website, personal data related to your behaviour and your IP address is collected. For the type of processing, we in some cases act as data controller. 
The processing of personal data in relation to necessary cookies is based on an agreement between you and Realdania to be able to use the functions of the website (GDPR article 6 (1) (b)). The processing of personal data in relation to statistical and preference cookies is based on our legitimate interest in offering you the best possible products and services (GDPR article 6 (1) (f)). The processing of personal data in relation to marketing cookies, also based on your preferences, is based on your prior consent (GDPR article 6 (1) (a)).
In addition, Realdania will always obtain a valid cookie consent, in accordance with the EU cookie directive, before cookies are placed on your terminal equipment.

To be able to process personal data in connection with cookies for the above purposes, we may provide access to your personal data for third parties who, on the basis of a contractual relationship with Realdania, provide relevant services, e.g. IT suppliers, analytics companies and suppliers of marketing material. Under certain circumstances Realdania will act as a joint controller with the third parties. 3. Security etc.

Realdania will of course process all data with confidentiality and in accordance with the applicable data protection legislation. If you sign up at our website, we follow the Danish Data Protection Agency’s requirements and recommendations for transfer of personal data via the internet and your CPR-number is encrypted when stored.

Who can access your data?

Only those of our employees who are directly dependent of the data, to be able to do their work, have access to your data. All individuals who are working with our member platform are subject to confidentiality. 
Realdania can, however, give access to appointed IT partners to work with the database system containing personal data, if the reason is operation and development of our websites and member platform. These IT partners are subject to provisions of a data processor agreement.

As a starting point, all data is used only within Realdania. For campaign applications personal data is disclosed to our trusted, external campaign office who process them on our behalf under our instructions and in accordance with our Privacy Policy and other applicable confidentiality and security measures, including the General Data Protection Regulation. 


Security and storage of data

We have implemented security measures to ensure that our internal procedures meet our high security standards. In this way, we make every effort to protect the quality and integrity of your personal data. 

The data submitted to our website is encrypted when transferred between the user’s browser, the website and on to Realdania’s internal membership system. The process follows the requirements and recommendations of the Data Protection Agency.

Our membership system is an internal system in Realdania, and only appointed employees have access to this. Processes around servers, users, storage, and access to data are subject to ongoing security checks based on current legislation and recommendations. Processing and storage of data takes place in accordance with the requirements and recommendations of the Data Protection Agency as well as applicable legislation.
